Agenda 1. OPENING AND WELCOME 2. APOLOGIES AND LEAVES OF ABSENCE 3. MINUTES OF THE PREVIOUS MEETING & BUSINESS ARISING FROM THE MINUTES 4. CONSTITUTIONAL AMENDMENTS ss 2-10 - General reformatting to bring the Constitution towards greater similarity with the C&S Model Constitution. In all cases this encompasses a tightening and editing of the structure of the constitution, throughout which formatting errors are present, with corrections regarding the improper titling of all subsections from Section 1 and thereafter, the complete omission of a Section 6, and an empty subsection (s3 (1.3) (iii)). In all cases these changes do not affect explicit or implied amendment toward the functionality or actual text of the constitution. Hereafter the sections and subsections proffered for amendment are referred to by their current titles, except where this would create vagueness. s1 (1.1-1.3) - To reflect changes to the aims of the Society. Currently: <<1. AIMS 1.1 The aims of the Society shall be to: i. Foster a community of piano players and piano lovers to socialise and perform for and with each other; ii. Provide an opportunity for piano players of all levels throughout the University to practice and improve their skills; iii. Provide an opportunity for students from all faculties with little musical background or ability to learn piano in member-run group workshops; iv. Bring performances to the wider community to help members develop confidence in performance and to share music in the community; v. Provide a library of sheet music accessible to members of the Society; and vi. Foster musical literacy, and awareness and appreciation of piano playing in the University through social events including performances and concert-going 1.2. The Society will undertake the following activities to achieve its aims: i. Hold regular meetings, or ‘jam sessions’ for members to share the music; ii. Provide access to keyboard equipment for practice where possible; iii. Build and curate a library of piano sheet music; iv. Schedule member-run piano and music literacy workshops for beginning and intermediate members and master classes for the experienced players; v. Provide performance opportunities throughout the year; over both semesters and breaks; and vi. Organise social events throughout the year. 1.3. “The Society” is Not for profit; meaning: the assets and income of the society shall be applied solely in furtherance of the aims of the society and no portion shall be distributed directly or indirectly to the members of the society except as bona fide compensation expenses incurred on behalf of the society.>> To be amended as follows: <<2.1 “The Society” is not-for-profit; meaning: the assets and income of the society shall be applied solely in furtherance of the aims of the society and no portion shall be distributed directly or indirectly to the members of the society except as bona fide compensation expenses incurred on behalf of the society. 2.2 The aims of the Society shall be to: (i) Engender a community of pianists and other musicians, including but not limited to performers, teachers and students; (ii) Develop an informal musical education program for the Society’s members. 2.3 The Society will undertake the following activities to achieve its aims: (i) Organise social, informal, and formal musical events, and other events, for its members; (ii) Create and manage a team of volunteer music teachers.>> ------------------------------------------------- s3 (1.3) (i) - To reflect changes to the price of Ordinary Membership Currently: <> To be amended as follows: <<3.1 (i) The subscription fees for membership shall be: i. Ordinary Membership $10>> ------------------------------------------------- s4 (1.1) - To reflect changes to the Executive positions. Currently: <<4. THE EXECUTIVE 1.1. The Society shall have an Executive consisting of: i. a President ii. a Vice-President iii. a Treasurer iv. a Secretary v. a Publicity Officer vi. a Conservatorium Liaison Officer vii. a Media Officer>> To be amended as follows: <<4. THE EXECUTIVE 4.1. The Society shall have an Executive consisting of: i. a President ii. a Vice-President iii. a Treasurer iv. a Secretary v. a General Executive Officer>> ------------------------------------------------- s5 (1.1-1.7) - To reflect changes to the particulars of the duties of each Executive position. Currently: <<5. DUTIES OF EXECUTIVE MEMBERS 1.1. The President shall: i. Plan the Society’s activities in consultation with the Executive. ii. Liaise with the Executive and any Committees formed by the Society. iii. Liaise with instructors for any master classes. iv. Ensure an adequate handover, including any documents and materials, to the following executive 1.2. The Vice-President shall: i. Deputise for the President. 1.3. The Treasurer shall: i. Maintain the Society’s finances in accordance with the C&S Handbook for Treasurers produced by the Clubs & Societies Office of The University of Sydney Union. ii. Present to the Annual General Meeting of the Society a report detailing the financial activity and status of the Society. iii. Ensure an adequate handover, including any documents and materials, to the following Executive. 1.4. The Secretary shall: i. Conduct the correspondence of the Society. ii. Book meeting rooms for the Society. iii. Keep minutes of the proceedings of all Society meetings. iv. Maintain the records and documents of the Society. v. Maintain a list of current Members, in accordance with University of Sydney Union Guidelines. vi. Maintain the Society’s registration with The University of Sydney Union. 1.5. The Publicity Officer shall: i. Coordinate the preparation and distribution of publicity materials for events held by the Society. 1.6. The Conservatorium Liaison Officer shall: i. Liaise with students at the Conservatorium of Music to organise joint events. ii. Maintain communications with the Conservatorium branch. 1.7 The Media Officer shall: i. Record and process video footage, and edit them into videos ii. Upload and manage the Society’s YouTube account>> To be amended as follows: <<5. DUTIES OF EXECUTIVE MEMBERS 5.1. The President shall: i. Plan the Society’s activities in consultation with the Executive. ii. Liaise with the Executive and any Committees formed by the Society. iii. Liaise with instructors for any master classes. iv. Ensure an adequate handover, including any documents and materials, to the following executive v. Administer the external relations of the Society, including, but not limited to, those with the Sydney Conservatorium of Music. 5.2. The Vice-President shall: i. Deputise for the President. ii. Be empowered to undertake temporarily and completely the duties of the President if that position becomes casually vacant, or if its holder becomes temporarily incapable of performing their duties due to extraordinary circumstances, if supported by a two-thirds or greater majority vote of the Executive excluding the President and Vice-President. The vote may be called at any General Meeting of the Society at which the Vice-President is present, and shall take the form of a 'First Past the Post' secret ballot, the results of which will be effective until such time as the President is able to return to their functions, or until a new President is elected, or until the next Annual General Meeting. 5.5. The General Executive Officer shall: i. Assist the Executive Team in their respective administrative functions. >> s5 (1.3, 1.4) have not been brought for amendment except to be re- titled as ss 5.3 and 5.4 respectively. ss (1.6, 1.7) shall be removed. ------------------------------------------------- s7 (7.1) - To reflect changes to the regularity of Ordinary Meetings. Currently: <<7. ORDINARY MEETINGS 1.1. The Society shall hold an Ordinary Meeting at least once every fortnight during semester (teaching period, Weeks 1-13).>> To be amended as follows: <<6.1.
