AGENDA OF ANNUAL GENERAL MEETING OF USYD RUNCLUB TO BE HELD AT 6:30PM 24 OCTOBER 2018 AT MANNING MEETING ROOM 1 1. OPENING AND WELCOME 2. APOLOGIES AND LEAVES OF ABSENCE 3. MINUTES OF THE PREVIOUS MEETING & BUSINESS ARISING FROM THE MINUTES 4. ANNUAL REPORTS 5. CONSTITUTIONAL AMENDMENTS The following amendments to the constitution are proposed: 2.2.4 Ensure that the student body includes and caters for the varied areas of interest within the Faculty, including but not limited to: (i) Running and training
 (ii) Social networking within the running community (iii) Social running events
 Race participation and representation Ensure that various areas of interest are included and catered to, including but not limited to: (i) Running and training
 (ii) Social networking within the running community (iii) Social running events
 Race participation and representationConfusing wording, remove references to “students” 2.2.5 Provide a common ground for students via the running platform. Provide a common platform for members to communicate and self-organise via social media. 2.3.2 Act on suggestions or requests made by the students for run related activities to be held Act on suggestions or requests made by members for running-related activities. 2.3.6 Provide item(s) of merchandise available for members, including but not limited to jerseys. 4.1 The Society shall have an Executive consisting of: i)  A President 
 ii)  Vice President 
 iii)  A Secretary 
 iv)  A Treasurer 
 vii) And up to a further of two (2) General Executive Member(s). The Society shall have an Executive consisting of: i) A President ii) At least (1) Vice President iii) A Secretary iv) A Treasurer v) A Director of Races v) And any number of General Executive Member(s). 4.2 The society shall have a Committee consisting of the Executive and the following positions: i)  Media Director 
 ii)  Events Coordinator 
 iii)  Sponsorship Officer Struck 5.1 The President shall: i)  Organise and attend all the Societies events and training programs. 
 ii)  Liase with the Faculty Executive and any Committees formed by the Society. 
 iii)  Liase with the external running organisations and events regarding volunteering opportunities for 
members to participate in. 
 iv)  Ensure an adequate handover, including any documents and materials to the following Executive. 
 v)  Present to the Annual General Meeting of the Society a report detailing the activities of the Society. 
 vi)  Fill honorary positions as a member of the Society. The President shall: i) Plan the Society’s activities in consultation with the Executive. ii) Liaise with the Executive and any Committees formed by the Society. iii) Ensure an adequate handover, including any documents and materials, to the following Executive. iv) Present to the Annual General Meeting of the Society a report detailing the activities of the Society. vi) Fill honorary positions as a member of the Society. 5.5-5.10 5.5 The Sponsorship Officer shall: i)  Raise funds to support the activities of the Society. 
 ii)  Correspond with potential sponsors. 
 5.6  The Events Coordinator shall: i)  Coordinate with the President and Vice President in managing the Society’s events. 
 ii)  Attend all the societies events. 
 iii)  Ensure that all events are run smoothly and safely. 
 5.7 The Media director shall: i)  Promote the Society through print and digital media. 
 ii)  Maintain the Society’s online present in digital and social media. iii)  Coordinate the Events Officer, President and Vice President to effectively promote the Society and 
its events. 
 5.8  The Committee shall ensure that one or more of its members shall be present at all of the Societies committee meetings as observers to liase with the Society and report upon ongoing activities within the faculty. 5.9  All members of the outgoing Executive and Committee shall ensure that all documents, materials and other relevant information are passed on to the incoming Executive and Committee. 
 5.10  All members of the outgoing Executive and Committee shall ensure that the incoming Executive and Committee are aware of all Society procedures, requirements and committee memberships. 5.5 The Director of Races shall: i) Create and organise representative teams for external running races, at least including: a. City2Surf b. The Sydney Marathon ii) Ensure their presence, or the presence of another Executive member, at all races with a representative team in (i). iii) Facilitate the participation of interested members in any domestic or international running events. iv) Liaise with external running organisations and events regarding volunteer opportunities for members to participate in. 6. ELECTION OF EXECUTIVES Appointment of Returning Officer Nominations will be considered and voted on for the following positions: • President • Vice President • Secretary • Treasurer • Director of Races • General Executive 7.
